The school founded in 2000, the school have 10 teaching staff, 3 administration staffs. and 100 students. In 2000 year, the school had 20 classes for Primary 1 – Primary 6. Teaching staff and administration staff easy to handle all data and information
On September 2003, the classes from 20 classes to 100 classes, and the students from 100 to 500 peoples, then the senior management of school accord the statics, they decide apply the government funding for improve the teaching quality and operational performance, wish can upgrade the school image.
On May 2004, the senior management received around $150000 government funding for purchase ICT equipment and improve the teaching / learning environment.
The ICT equipment implementation project and train the teaching staff for maintenance basic skill outsource to 3th party computing service Limited.
Assumption
The project purpose for improve the teaching / learning environment and provide students the best do assignment or examination environment. The ICT equipment is provide for Administration staffs, Students, and Teacher.
On current environment, administration staffs only write down the students and all staffs personal information on the general information paper. These paper can’t keep long time and they search the data is very different. When the information paper damaged, then they will miss the information. After the ICT implementation project, they can input all information to computer, easy to search data through windows build in search engine. In addition, the personal computer base on the hard disk to keep how many data. For example, the computer include 80GB hard disk, base on the general document to keep, the hard disk can keep around 6 – 7 years data.
On current environment, all students only submit paper assignment and examination. The
assignment and examination can’t keep long time, easy to damage and dirty. When these assignment damaged, the students must do it again, and the students sometime forget submit the assignment to administration of school, then the assignment will be fail. In addition, when teacher assigned project or coursework, but the school have not ICT equipment and internet service, then they search the information for the project is very different. After the ICT equipment implementation, all students can write the assignment and do examination by personal computer, when they change the word on the assignment is very easy, they only use the input device (e.g., keyboard…etc), they can change the words at once. In addition, when the school assigned the project to students, they can search the information for project through internet service. For example, the project topic is supermarket, they can search the supermarket definition, information and the stock prices. When students completed the project, they can print out the documentation through the printer.
On current environment, teacher head on old program material, the information is not the latest, students only receive the knowledge can’t meet the latest program requirement, and then all students join the paper examination, when they completed the examination, teacher only write down the result on students information paper. The paper have life cycle, when the paper damaged, the teacher can’t search the student examination and assignment record, and all teachers only show the program information on blackboard, when the board have not enough space for present next chapter, the teacher clean the blackboard is very different. After the ICT equipment implementation, the teacher can show the information of program through the electric whiteboard and easy to clean the board, the teacher only presses the clean button, then the whiteboard all information was clean automatically. In addition, the teacher schedule update the program information or show information download form internet by computer, and the teacher can input the students assignment or examination marks for the keep record to database system.

Purpose of the document
On last month, we completed the school implementation as the same as environment. The project environment is on city, the school ICT project purchase around 10 computers, 4 printers and 1 of Management and Administration System. They use system base on windows 2008 and windows 7, and the senior management minimum requirement is access to internet for search new information for school program and print out the assignment. The project documentation is for reference.
Reason
The Feasibility Study document was created for your reference. According the document, we can make the risk low level, and we can found out the expected risk report to the senior management before start the project. In addition, the senior management understand no project have not risk, and plan the contingency planning.

The project must within 7 month completed and the total cost is $120000.
Investment Appraisal
The project implementation is smooth, but I suggest client implement the firewall and anti-virus for corporate company version, because the project is not include network and computer security deceive or tools. In addition, the deliver the equipment is late around 2 days. We will discuss how to improve the equipment late deliver to site issue with 3th Party vendor.
Recommendation for network
We based on the network diagram, the network has not any deceive for network security, I suggest implement the firewall for protect local network data and web control. In addition, we suggest the setup the anti-virus administration server and Anti-virus on all computer and server.

The project will follow the senior management minimum requirement, we will implement 8 of personal computer, local network and electric whiteboard on classrooms.

Technical Analysis
The project mainly concern is the teacher or student access to internet through the broadband network, teacher can show the program information or material on the electric whiteboard, student search the information or submit the assignment through the personal computer, student can print out the assignment through the network printer, so the senior management of school request create the new project for above requirement.

The ICT equipment implementation of project mainly 4 steps – Network implementation, server implementation and configuration, personal computer implementation and network printer implementation.
First Step – Network implementation
The network implementations include cable implementation, switching implementation and WAN link implementation.
We are according the school floor plan implement the cabling first, because all local network purpose, must use network cable access to all switch, personal computer and server. Second, we implement the switch for linkup all ICT equipment and WAN link, and last we implement the WAN link with ISP (Internet Service Provider), then the local network completed configuration and when the personal computer plug the network cable, then user can use the internet service.

Second Step – Server Feature and Database Implementation
We completed the First Step and the senior management of school signed the stage complete form, then we apply second step – Server and Database Implementation. The e-Class system is based on Oracle and SQL Server platform development, so we need accord the government funding choice the database implementation, they received the government funding around 150000, so we will implement Oracle database on server.
The Oracle Database is OO database, the database structure use relational data model, that’s mean the database will slot the data according rules, then the database will combine to data display on the monitor.
The Following as the server operating system and database implementation procedure,
Download the Windows 2008 Server media from Microsoft website.
(Website address: http://www.microsoft.com)
Select the Windows language and press “Next”.
(*We suggest implement the “English” Language, because the e-Class is based on English windows, so the system is more stable than other language)
Click the “Install Now” button, then select “Accept” the windows license
Type Windows CD Key on “Windows Key” textbox and press “Next”
(* The CD Key label is on the server case, so we must input this key to textbox)
Select the Hard Disk Location for Install the windows and press “format”, then press “Next”.
Wait the Windows auto run the setup procedure, the process around 15 minutes.
When Windows popup the restart windows, then press “Restart Windows” button
When the windows after the reboot, then the windows will popup change the “administrator” password.
Completed Step 8, then update all windows service pack and security hotfix
When the windows updated the latest sevice pack and hotfix, then we enable the server feature – IIS and file and printing sharing service.
Completed Oracle pre-set procedure, then we insert the Oracle 11g to implementation
Press “Next” and Change the default install path from “C:Program Files” to “C:Oracle”, then press “Next”
Select the “Enterprise Mode” and press “Next”
Select the “Custom” and press “Next”
Point to Database driver and connecter only enable “Microsoft SQL Server”, “Oracle” and “Microsoft Access”, then press “Next”
Wait the Oracle Database completed installation procedure, the procedure complete time around 30 minutes.
Press “Next” button and complete the installation
Select to windows button -> all programs -> Oracle 11g Database -> start the database first page.
(If we can access the page, the installation successful, otherwise, we need foud out the problem)
Last, we need type the IP Address and subnet on network adapter, and we use test the network connection by ping……etc.
Third Step – Personal Computer Implementation
When we completed second step and the senior management signed the stage complete form. We implement the personal computer on local network. The personal computer will deploy windows, Oracle client, network printer, Office Application and e-Class client. When we completed the personal computer implementation, then the computer can provide access to internet service and get network resources.
The following as the personal computer operating system, Office Application and database client procedure,
Switch on the Computer, then the computer will popup the windows pre-set explorer.
Select “Accept” the license and press “Next”
Type the Computer Name on “Origination” textbox, then press “Next”
Change the Computer Name and type the local administrator password.
Select the location “Hong Kong” and press “Next”
Select all default setting and press “Complete”
Restart the computer and login to windows as “administrator”
Update all windows service pack and security hotfix
Completed windows update, then we type the IP address and Subnet on network adepter
Insert the Microsoft Office 2003 to computer
Press “Next” and type the Office 2007 license key, then press “Next”
Select the “custom” and press “Next”
Select “Word, Excel, PowerPoint, Outlook” install on local drive and press “Next”
Wait the setup procedure complete, then press the “Complete” button.
Completed Microsoft Office procedure, then start the Oracle client procedure.
Insert the Oracle database disk to computer and press “Next”
Select “Accept” license and press “Next”
Select the “Client Only” and press “Next”
Wait the Oracle setup auto process completed
Press “Completed”
Select the Windows button and click “Control Panel”
Click to “ODBC” and Add the “Oracle Driver”
Type the server IP Address and login account for login to database
Test the connection

Fourth Step – Network Printer Implementation
Completed the Step 1 to Step 3, then we implement the network printer, The network laser printer need enable the network module function and IP address. After the network laser printer configurations, then we implement the printer driver on local drive, the drive must include IP Address and send data to printer port number.

System and Network Recommendation
Base on the ICT implement project, the security configuration is excluded, because the costing maybe over around 20 – 30% budget, then the ICT equipment implementation project delays around 2 month, so this is optional in this moment.
I approach the school implement the firewall and antivirus server, because the firewall can block the unknown network packet and internet ports control, it can disable un-use port for other network service, for example, port 21 for FTP server, port 22 for ssh, port 23 for telnet service…………etc., the hacker always entry to internal network data through these network ports. In addition, I recommend all computers implement the anti-virus for protect the operating system and data, because when the computer download and implement the virus file, it will make the computer very slow, and capture the confidential data automatically to send out to hacker. In the worst case, the computer missed the file, but we can’t find the reason, so I recommend implement the firewall and antivirus for computer edition.
On system side, I recommend setup the backup for server data, when the server hard disk damaged, then we can restore the latest data through the backup solution, then I recommend apply the Symantec backup solution, the backup software interface is user friendly, the teaching staff is easy to control the backup schedule and definition. This recommendation is optional. The senior management of school base on the budget include to budget or not. The solution total price is around 50000 – 60000 (Include the Storage & Autoloader).

We are according the costing statistics for do cost analysis, the statistics show up the cost to reduce according the implemented the project year, The first year guard total is purchase ICT equipment and maintenance, so the first year costing is around $108900, then from 4 year between 7 year, the senior management of school only pay the all equipment hardware maintenance fee, that mean is the senior management only payment for annual maintenance fee ($20000).

Benefit Analysis
After the ICT implementation project, it will return benefit to the senior management of school. For example, Staff man power, daily operation performance, data, learning quality, school image……….etc. When we completed the implementation project, administration staff and teaching staff easy to update the general information through computer, for example, current environment, administration staffs update the student resident address, they need manually search the information folder, after the search, then they change to the address on the concern student information form. This operation always use around half day to complete the task, but we completed the personal computer and application implementation, then they manually to input the information to Microsoft spared sheet through the Microsoft Excel one time. When they want to update student personal information, then they open the document, and use search function found out the student row for change the student information. That does can improve the daily operation performance. In addition, the school can change the work flow model to personal computer that means is the administration staff filing operation, update the information, and copy the learning material for student. These operation only 1 or 2 staffs to complete, no need to add the head count for assist the administration staff and the manpower for assist their daily operation, that the school can save around 20% administrative expenditure. In the project, we planned implement the file and database server on the local network, the file server can public the share folder for the teaching staff and administration staffs to keep the general or confidential data, and the user through the school administration and management system to add the student information on database. These feature can keep around 4 – 5 years data, but the server real keep how long data of the school depend on the hard disk size in the server, for example, the server implemented 320 GB hard disk, accord the word file format to calculate the quantity, we think the server can keep around 4 years, but the data is graphic or presentation material, then the quantity maybe only around 3 – 3.5 years. In addition, the current environment, they can keep around 2 years and search the concern data different. In fact, the computer keep data is rather than paper information folder.

The senior management of school accord the statistics, when after the project form 2 year to 7 year, then the benefit is the most large, because the staffs operation performance have improve the efficiency. And the data can keep so many long time, at latest the data is not easy to miss or damage.

Risk Evaluation
We are according the risk identification list, we have a solution to reduce the risk level, the risk solution is found 2 or above vendor for purchase IT equipment and we need double confirm the deliver equipment schedule, then the risk 2, we will confirm the temporary purchasing order or confirm the purchasing order and fax to the vendor sales department, and then we process the purchasing procedure as soon as possible. The risk 3, we will arrange enough human resources on site to start the project, but the team member resigned, we will assign other people with concern technical to counties the project. Final, the risk 4, we will request the delivery date early for our engineer to test the hardware and software performance, when the hardware unstable, we will call the vendor re-delivery the equipment at once.
In addition, we must take the project risk write on the risk log, because that for other project manager for reference.
On the system and network side, we must build up the system and network evaluation for test the project system and configuration. For example, we setup the windows 2008 server and database for test the e-Class, setup the evaluation network for test the network configuration. In addition, we setup 1 of client for test the e-Class web interface and test the system error, when we tested the error or the performance is not expect the result, then we change the configuration and re-test again until to the evaluation environment applied to the school.

Senior Management Requirement
The senior management request setup equipment or something for improve the school or
company daily operation, then they will provide tender for start the project, the tender have
project or operation standard. The IT staff or in charge the project holder accord the tender
plan the project schedule and planning
Project Meeting (Phase 1)
The project meeting mean as such as senior management requirement terms,
but the meeting must depth know the senior requirement and real target for
improve which operation. For example, the in charge project guys collect all
user minimize requirement, then they will propose the select solution. This
stage goal is make vendor or IT staff know the senior management requirement
.
Feasibility Study
When the vendor or IT staff collected the requirement, then found out the
same type project for reference, and then he / she is according the project
risk experience for reminder the project how can make the risk on lower status.
In addition, they will found out the project documentation for review, then
improve the project successful rate.
Project Meeting (Phase 2)
After the feasibility study, then the project manager will provide the
documentation for small school project, he will provide the document is
proposal, draft solution for small school environment, expectation risk, draft
project costing, Haman Recourse Plan, Involved concern people list,
the project stakeholder, network development and maintenance…etc. These
documentation is for the senior management decide the solution, budget and
time for project. The senior management have decision on this stage of project.
Network and System Design
According the senior management decision, then IT staff or vendor plan the
network and system infrastructure, network and system policy configuration,
network topology, IT equipment document preparation……….etc. When the IT
confirm the design, then will order the ICT equipment for start the project, in
this moment, IT staff or vendor will provide the equipment list, network and
system infrastructure diagram and configuration list. This stage around 1
month.
Network and System Implementation
When ICT equipment delivered to school, then IT will be start the project
implementation, the implementation have 4 of phases.

Switching implementation
Personal computer and office equipment implementation
Operating System and Software Implementation
Cabling implementation is the most basic network implementation part, because the
cabling have not ready, then all implementation will be delay. In addition, the cable is
important part, have not cable, then the network can’t build up.
Switching implementation is part of setup network, when complete the
cable installation, then the switch link up all cabling and computer, the
network draft status is successful. In addition, IT can use laptop access to
internet through broadband network, make sure the network can
functional.
Personal computer and office equipment implementation is when the
network infrastructure complete the setup, then install the computer
and office equipment for user use. This stage test around 7 days, then
IT staff can test the performance and result.
Operating System and Application implementation
When hardware and network equipment already, then IT will process last implementation
step, IT will complete the operating system and application implementation, this stage
complete around 7days. When this stage completed, then the project enter to next stage
process – Network and System performance testing.
7. Network and System performance testing
When IT completed all project implementation process, then start the network and
system performance on production environment. On network will test the access internet
function, speed, trace the internet path, use command found out the local area network
equipment, testing all computer and equipment general function. In system side, test
the computer all office function, e.g. printing, browse the local and network document…
etc.
8. Procurement
Procurement is the documentation of project, e.g, user configuration guide, backup plan
Project report, expectation risk and recommendation, ICT equipment user guide……etc.
The documentation goal for teaching staff or IT staff know the network and system
infrastructure. In addition, IT staff or teaching staff can easy trace the problem accord
the documentation.
9. User Training
When we completed the project, then teach the in-charge maintenance staff or IT
basic troubleshot skill for this local network, and teach teaching staff how to manage
computer local user account. In addition, teach basic use skill for teaching staffs.
On beside, we teach the user how to use the Administrative and Management System,
the system work flow present to user for their reference, and then we will setup
the data directory for user found out the database field and description.
10. Complete the project and database maintenance
All process complete and user accept the UAT result, then the project implementation
finish. In addition, we guide the teaching user maintenance the database and database
backup.

We teach them use network command for troubleshot the network issue, for example,
tracert, ipconfig /release, ipconfig /renew, pathping………..etc.. When user reported the
computer can’t access to internet, teaching staffs use these commend for troubleshooting,
they will try the best to fix the problem, if the problem still fix, then we will assign the
engineer for troubleshooting.
When Printer jam paper or show the “Toner is Empty” massage, then I teach them how to
remove the paper and replace the toner. When they repair the printer, then they will print
the testing paper for support the printer resumed normal.
Users always report the computer can’t read the USB memory deceive, we found out the problem is the windows can’t assign correct drive letter.
